Board Certified Care Starts with Quality Staff Management

When faced with a staffing dilemma, many healthcare facilities find themselves navigating a daunting whirlwind of information-gathering. Substitutes must fit specific requirements that can vary greatly by department, position, certification, or location. So finding a suitable replacement in order to maintain the highest quality of patient care – while meeting mandated staffing levels – requires expert caregivers as well as skilled staff scheduling management.

Fortunately, there is help. Shiftboard has helped streamline healthcare staffing since day 1. Top-ranked facilities worldwide depend on us to meet the scheduling demands of the modern healthcare industry. We understand the challenges of scheduling and managing the full range of patient care – from major hospitals and health systems, to multi-location assisted living facilities, to healthcare staffing agencies, to small clinics, and beyond.

We’ve noticed some parallels among the best in healthcare – chief among them is the foresight to automate time-consuming tasks like staff scheduling, credential management, and communication so they can better focus on patient-facing activities.

To show how you can reach similarly high standards of care through staff management, we’ve pooled years of expertise into these peer-tested best practices for superior healthcare scheduling.

healthcare_group-image_v3Practice Efficient Scheduling
There are only so many hours in the day, and providing quality healthcare is a full-time job. So why waste time trying to organize staff schedules using spreadsheets, post-it notes, whiteboards, and phone calls? Does Excel know the difference between RNs, LPNs, MAs, CNAs, etc.? How many hours are wasted calling 50 nurses to cover a shift?

Automating scheduling, time and attendance, and reporting allows you to do more with less, better. Plus, a quality solution will also be mobile-friendly, so you and your staff get 24/7 real-time access to the latest version of the schedule anywhere, on any device.

Shiftboard_CircleFrames_Healthcare_compressedBonus: whoever manages those tasks becomes a new asset to your organization – administrators can work on career enhancing activities, caregivers can focus on patient care, and your facility performs at a higher level.

Diagnose Your Scheduling
Proper diagnosis isn’t just important for curing patients. An organization can get “sick” too, and to accurately identify and cure what ails it requires insight into its operations. To achieve this, you need a software partner powerful enough to provide visibility into the right areas of your operation. And to give you the full picture it should also easily integrate with your existing admin systems like payroll and billing, as well as your existing patient-facing systems like EMR and case management software.

You wouldn’t attempt surgery without reviewing an x-ray or MRI; demand the same level of clarity from your management software.

healthcare-pic-1_nurse_v2Practice Preventative Scheduling
Just as preventative care benefits patient health, proactive staffing benefits your facility’s health. However, in order to prevent scheduling issues before they start, you need a solution right-sized for your facility. UPMC knows this all too well.

Scheduling floaters for a variety of positions across 20+ hospitals, clinics, and other care facilities was unbearable until they found a solution to centralize and simplify their complex schedule and staffing needs. Finding software able to adapt to meet their specific requirements and staff size helped UPMC minimize scheduling issues.

Protect Patient Privacy
medical-781422_1920
Quality care goes beyond merely looking after their health. Nowadays protecting patient information is a top priority, so don’t settle for a partner that doesn’t understand the nuances of privacy practices. It’s hard to take data security seriously if you don’t know the rules.

Insist that any partner you trust with your sensitive information has both the knowledge and capabilities to deserve that trust. After all, no matter who’s responsible for a security breech, it’s your reputation on the line.

Cure Budget Headaches
Budgets are tight across the healthcare industry, making cost control more important than ever. Efficient use of resources is key to cutting expenses, and finding a technology solution that will help with your operational, staff scheduling, and financial strategies is a great way to reduce inefficiencies. Simply avoiding unnecessary expenses like unwanted overtime can really boost your bottom line.

Cure Accountability Headaches
heartbeat-imageHealthcare providers often face life-or-death situations, so accountability and proficiency are very important. With a life hanging in the balance, late arrivals, unqualified subs, or no-shows don’t just make your facility look bad – they can tip the scale the wrong way.

When attendance issues are simply unacceptable, you need a reliable system for tracking when and where your staff clocks in and out. This is where a versatile software partner is key.

That’s how Living Resources became able to easily monitor attendance – and standardize scheduling – for nearly 1,000 employees across its 40 different assisted living facilities – plus in-home caregivers – online, in real-time, 24/7. Try doing that with Excel.

Practice Accurate Scheduling
healthcare_chart_v1
When it comes to patient care, mistakes can cost lives. That’s why uncertified staff are a threat to both patient safety and your reputation – which can cost far more than any fine.

Avoid human error! Use online provider profiles to store certifications, licenses, training, vaccinations, etc. If done right, you can automate expiration alerts as well as warnings for improperly staffed shifts. Stanford Health even took it a step further and automated their sign-ups for training recertification classes.

After all, facilities are graded on patient care – focus on quality of care instead of worrying about float pool performance and qualifications.

Make Satisfaction Your Advantage
Modern healthcare staffing is intensely competitive. Good talent is hard to find, which is why attracting and retaining talent is vital to success in healthcare. Insist on a solution that makes it easy to stand out among your peers in both your high quality of care and low employee turnover by keeping your providers engaged, informed, and happy.

healthcare-tech-image_v2Automating your schedule based on preset parameters allows you to manage PTO requests and avoid overworking staff easily, fairly, and without human bias. Also ensure your system gives you the flexibility to allow employees to sign up for or swap shifts based on guidelines that work for them and you.

Eliminating scheduling frustrations and giving providers input can make happiness your ultimate competitive advantage.

User-Friendly & Lifetime Support
You expect your providers to treat patients and each other with the utmost care and courtesy. Expect a similar experience from your staff management system. If your scheduling software isn’t easy to use, then can you really call it a “solution”?

Likewise, a hallmark of the highest functioning healthcare facilities is a sense of calm and security that comes with the knowledge that when a patient needs support, you’re right there for them. Insist on the same support from your software partner, for life.healthcare_patient-care_v2

Proper Remedy
Unlike less complex industries, if you’ve seen one healthcare facility, you’ve seen one healthcare facility. The mix of requirements and challenges facing each hospital or nursing home are never quite the same, even if the names on the buildings are similar.

A simple, out-of-the-box 9-5 scheduling solution won’t help you upgrade your quality of care.

To enhance your facility’s standard of care you need a powerful provider management system that’s designed for healthcare, yet agile enough to adapt to your needs – so you can focus on helping your patients.

For first-hand insights around the impact a dynamic scheduling system can have on caregiver coordination and performance, check out our healthcare staffing overview.

When producing events & festivals, agile coordination is critical to real-time execution.

This is the second installment of our guide to managing a volunteer workforce. For insights on upgrading people management in preparation for your event or festival, please check out Part I of our guide.

Now the time has come to open the gates and welcome your patrons, concert goers, and fans. The atmosphere is alive with activity, and everything you’ve prepared needs to fall into place at the right time, right away. Let’s take a look at what dynamic people management on-site can do to streamline your operations when it matters most.

User Friendly
event-add-user-icon_v2
Any platform that powers events and festivals is going to be accessed on all sides by a rotating cast of staff and volunteers. Whether you’re coordinating 100s of people or 1,000s, your volunteer pool can vary greatly in age, background, and technical ability. Which means that it’s vital that any technology your workers interact with is intuitive and easy to use.

Volunteer managers are stretched thin enough as it is. They don’t have time to shoulder the burden of training new workers how to register, request and accept shifts, or access their schedules.

Instant Communication
No matter if you’re working with repeat volunteers or perfect strangers, each shift assignment always has the potential to represent a completely new adventure.

This is not like showing up to the same place every day from 9-5:

event_festival_image_v3

Where are you supposed to go? What do you need to bring? Who are you supposed to check in with? Where should you park? There are too many elements that volunteers need to prepare for to list off here, and all of them can change at a moment’s notice.

That’s why instant communication is crucial.

network-160644_1280Broadcasting relevant messages to a targeted audience allows you to quickly adapt to changes and effectively keep everyone in the loop. To do so, your system must have the functionality to allow you to quickly identify the right people to contact and reach them via text or email right now.

Responsive, Mobile Scheduling
Whether you’re trying to coordinate 25 volunteers or 10,000+, the task of building a schedule can seem endless. Trying to assign shifts or manage signups using spreadsheets and phone calls only compounds issues and opens the door for miscommunication, confusion, and manager burnout.

events_mobile-connectedA solution that allows volunteers to self-schedule, or signup for shifts that work best for them can exponentially streamline the process. In addition, software that provides more dynamic functionality, such as conflict checking, helps you avoid overbooking and produce better schedules more effectively.

You should also have the power to dictate who and how many people can sign up for which positions, select interested workers from signup lists, and set rules for volunteers to swap shifts – all on-the-go via smartphone.

Accuracy and Accountability
TimeAttendance_NoHardwareNeeded_Cmprd
Real-time insight into exactly when and where volunteers check in is key to effective coordination on-site during any event or festival. Likewise, keeping accurate records of hours completed is equally important to preparing for the next time. So ditch paper sign-in sheets and stop entering time worked manually.

Advanced time and attendance systems provide adaptable check-in options, including mobile apps and QR codes. This allows you to pinpoint which volunteers are on the clock, and instantly identify where they need to backfill for missing people.

For truly streamlined operations, events such as SXSW even manage volunteer vouchers for things like food and SWAG through QR codes. Ensuring everyone gets what they need on the job, right away.

Building Momentum
concert_arena_photo-1449748040579-354c191a7934_700x483
Unlike most organizations, events and festivals do not have a perpetual stream of activity that constantly builds and sustains momentum throughout the year. Instead, everyone from massive festivals Sundance and Tribeca, to major sporting events, to the local county fair has to manage annual ebbs and flows of activity.

Recruiting and coordinating volunteer labor is a difficult task, but the benefits of doing it well reach far beyond your bottom line. In addition to the time and resources saved, more effective people management improves your volunteers’ experiences as well.

events_networking-icon_v2And the people who give their time to make your event happen can be your biggest ambassadors – providing the kind of word-of-mouth exposure you can’t buy. Ensuring they come away with a positive impression can help volunteer retention and recruitment. Not to mention the free publicity their glowing reviews to friends and acquaintances can provide.

By creating a culture of enthusiastic, committed community of unpaid workers, you can build the kind of consistent, year-around promotional momentum that leads to success and growth for organizations like yours.

For events & festivals, dynamic preparation is critical to successful coordination.

This is the first installment of our guide to managing a volunteer workforce. For insights on upgrading people management and execution during your event or festival, please check out Part II of our guide.

Coordinating any sort of gathering of people is an exercise in troubleshooting chaos. Where is everything supposed to go? Who is handling what? Did everyone check in? Where are the volunteers?

events_stadium-crowdAnd this is not just any run-of-the-mill chaos. Each situation presents its own unique organizational challenges based on variables like size, logistics, security, permits, or venue. However, while there is no universal operational blueprint, there are plenty of steps you can take to streamline your efforts and tailor people management to your needs.

We’ve seen it firsthand. Sporting events, concerts, conventions, music festivals, county fairs, and jamborees – whatever you’re organizing, Shiftboard has helped overcome the problems you’re facing.

We’ve worked with everything from small local festivals to world class events like SXSW and COPA.

In that time, we’ve recorded a wide range of feedback and best practices from all kinds of event organizers, volunteer coordinators, etc. We’ve noted several common themes across the industry – whether you’re running a one-day conference, a week-long festival, or another kind of event entirely. Here are some insights around the complexities of pre-show effort necessary when organizing world class events.

Volunteer Labor
On any level, coordinating people is generally a challenging task. When those people are not being paid for their time, the degree of difficulty increases significantly. Finding and retaining the right people for the job – who will work for free – can be overwhelming. Additionally, these workers can span a wide range of ages, technical abilities, and availability. Agility in your scheduling and people management is key to getting your operation off the ground.

Not an Everyday Occurrence
empty-seats-concert-1
There is no industry standard for how often an event or festival takes place. The time lapse between events can be days, weeks, months, 1 year, 4 years – the options are endless. And it’s impossible to establish a consistent operation when you’re not running at full strength all the time. So when you’re functioning with a limited full-time staff, finding a consistent, efficient way to ramp up for each occasion is crucial.

Stop Reinventing the Wheel
Producing an event or festival is an incredibly complicated undertaking. Throw in variations in your workforce and volunteer labor, and you have a perfect storm for mayhem. You need to establish a hub of information managers can draw from to avoid unnecessarily redundant activities, record what has worked in years past, and leave a paper trail so best practices are easier to replicate. The right management framework can help you better delegate day-to-day activities as well as streamline preparation from year to year.

Getting the Band Back Together
A harsh reality of volunteer labor is that the task of finding 100s or 1,000s of great people who happen to be available for a certain period of time is monumentally difficult. Finding people on-demand – especially when specific qualifications are required – doesn’t just happen.

event-profile_vector-clipartTrying to cobble together enough people to staff your event the analog way can waste a ton of time and resources. That’s why a system for collecting volunteer info and a hub for storing, sorting, and managing that data is so valuable.

You want to be able to reference who’s volunteered before, how well they performed, and any specific knowledge or qualifications they possess, such as certifications and special licenses. And remember, people are busy. Everyone has their own lives and careers, so you need to be able to reach them on their terms.

communication-1266211_1280Connect with them on email or text and allow them to respond day or night – whatever is most convenient for them. With more agile people management you can get better volunteers, with the right skills, faster and upgrade your overall staffing life cycle.

event_uncle-samReplenishing the Talent Pool
No matter how well you manage and engage your volunteer pool, turnover is inevitable. People move, priorities change, and availability fluctuates – so efficiently finding and onboarding replacements is vital. However, to effectively restock your volunteer pool, you need a system that adapts to the specific needs of your event.

This includes verifying qualifications with custom forms that can provide all the info you need and administering the entire registration process online through both web and mobile portals.

Complete visibility into the overall workflow allows managers to see the exact stage applicants are at, monitor their progress, and ensure no potential volunteers are just floating around in limbo between registration and onboarding. Additionally, you should be able to manage any fees or commitments associated with a volunteer position. Holding a deposit for the price of a “free” ticket to be refunded once volunteers fulfill their obligations, for example.

Now that your volunteer pipeline is up to speed, it’s time to look at operations during your event. Check out Part II of our guide for upgrading your people management when the spotlight’s on and the stakes are high. Or, for more information on preparing for your event or festival, drop us a line.

WHAT USERS ARE SAYING ABOUT SHIFTBOARD’S NEW INTERFACE:

Shiftboard Refresh FAQ:

What is changing?
Shiftboard’s look and feel is changing for the better. Our refreshed interface is more intuitive – without sacrificing any performance – so you can work faster and run your organization smarter.

To accomplish this, some things have moved around. That’s why we produced overview videos to walk you through what’s new with some of our most popular features.

Does this upgrade affect existing functionality?
Absolutely not. Shiftboard’s existing functionality isn’t going anywhere. In fact, the features you depend on are becoming easier to access and use – so you can more effectively manage your staff.

Where do I go to filter for teams on the calendar?
The team filter functionality has not changed, and neither has its location. We upgraded the way users interact with the filters, but kept them right where they’ve always been. Removing the clutter and visual distractions means it’s easier to set parameters and apply filters – resulting in a more streamlined experience.

People Button

FOR EXAMPLE: To view the weekly schedules for different teams, go into your calendar and select the People button. You will have the option to filter by People and Teams. Select Teams, then choose the team you’d like to view and click on Set Filter.

Where do I go to access Timecards?
Don’t worry, members still have access to their own Timecards. Just open the My Account dropdown menu under your user name at the top left portion of your screen, then select Timecard from the options displayed.

When am I scheduled to upgrade?
We’re upgrading our users in a series of waves, and will reach out to customers individually with the details of your scheduled update. However, if you’d like to upgrade as soon as possible, just say the word: feedback@shiftboard.com or 1-800-746-7531, ext. 2.

Are all my end users upgrading at the same time?
Yes. When a customer upgrades, all your end users upgrade with you.

Do I need to do anything to prepare for the upgrade?
Nope! We take care of the update for you. We will even send in-product messages to notify your end users that the refresh is coming.

Will I need to retrain our staff?
Not at all! The same great functionality in a more intuitive package means that your staff should feel right at home in Shiftboard’s new interface in no time. However, since a few things have moved around, there could be an adjustment period.

So we’ve produced videos outlining what changes to expect from some of our most popular features – just in case. If there are still questions, our support team is always happy to assist: feedback@shiftboard.com or 1-800-746-7531, ext. 2.

Here at Shiftboard, our customers are the driving force behind everything we do. Which is why we’re always focused on making our product work better for you. In order to do that, we need customer feedback. So we sent out a survey in May to see what you – our users – had to say. And you didn’t disappoint.

The feedback you provided was incredibly helpful, and we’ve been hard at work applying your input to our product. In fact, the first phase of improvements you asked for is ready to go.

We’re excited to report that over the next several weeks all Shiftboard customers will get your wish. We’re giving you the improved, streamlined experience you asked for – without sacrificing the functionality you’ve come to expect. We will reach out to every customer with more in-depth info around the refreshed look and feel. In the meantime, here are a few details around what’s coming:

A Refreshing Experience
Sometimes in life, feedback can be vague and confusing. This was not one of those times. With input like “more user friendly,” “easier to find things,” and “more intuitive” our mandate was clear. So we focused on cleaning up the user interaction to produce a more predictable experience. The results include a more logical main navigation bar, improved report filter functionality, and streamlined settings presentation.

In addition to a more intuitive look, we’ve made our reporting filters persistent – so your settings won’t change if you leave a page and come back during the same session.
